Messaging is already the default commercial channel

Treating WhatsApp as an informal extra is a 2019 mistake. Kantar and Meta found — and by October 2026 the figures are the operating reference — that 73.3% of consumers prefer messaging and that 72.4% are more likely to buy when they can write on that channel. Business is not «moving to WhatsApp». The first contact already started there.

Professional does not mean stiff. 75.1% want to write the way they would write to someone they know. The nuance is content: you can greet naturally and still identify the company, confirm the scope and refuse to leave a price only in a voice note.

Proof of legitimacy before the first reply

79.3% need proof they are talking to who they think they are talking to. On WhatsApp that proof is not a logo on a status. It is a number published on the website, a profile name that matches the company, a recognizable photo or visual and, when the thread requires it, a link to a profile or a domain the client already knows.

Do not ask for sensitive data in the first message. Do not send a shortened link without context. Do not use a salesperson's personal account as the only entry point if the client cannot verify it. Messaging speeds up the purchase. It also speeds up fraud. The client who hesitates is not paranoid. They are applying the same standard Kantar measured.

If the team shares a number, document who answers and in what hours. A client who gets three different tones in the same chat does not feel agility. They feel that nobody owns the conversation.

A professional tone that does not sound like a machine

The right register is a competent colleague, not an advert and not a friends' group. Short sentences. One question per message when you need a decision. A summary when the thread is longer than a screen. No internal jargon. No emoji the recipient would have to decode.

  • Introduce yourself the first time: name, company and why you are writing.
  • Repeat the agreement in text when the other person said it in a voice note.
  • Move scope, the closed price and any material change to email.
  • Do not use the chat to negotiate quietly what you will not be able to show later.

The temptation is to settle everything in the thread because it is fast. The cost appears when a third person joins: there is no context. Professional WhatsApp is fast in coordination and conservative in the archive.

When AI helps and when it gets in the way

67.7% find an AI chatbot helpful in messaging. 42.9% believe AI would improve the channel. Those two figures do not contradict each other: most people accept automatic help for what is repetitive; fewer than half believe that, on its own, improves the conversation. The difference is design.

Use automation for hours, FAQs and the first filter. Do not use it for a complaint, an exceptional price or a client who already asked to speak to a person. If the bot cannot prove legitimacy — name, company, a human next step — it is working against the 79.3% who need that proof.

An agent that writes «like a friend» and cannot cite the last agreement is worse than a short silence.

Operating rules for the team

Professional WhatsApp is run as a counter, not as each salesperson's pocket. Set hours, a first-contact pattern, an escalation rule and a cap on topics per chat. When the thread becomes a contract, email takes over. When the thread becomes noise, it is closed.

Ban personal numbers as the official channel. Ban forwarding client screenshots into internal groups without a need. Ban promising a deadline in chat if operations is not on the system where that deadline is met. Messaging does not replace the process. It advances it.

The channel that 73.3% already chose does not switch off. It is governed. Anyone who treats it as an informal extra will pay for that purchase intent in lost threads and numbers that cannot be verified.
